24/7 ticketing : Service or Restriction?
Traveldoo offers a 24/7,7 days a week web-based booking interface that allows travellers to book their business trips at any time of the day, night, or at weekends.
The Travel module is permanently connected to all client pricing sources (GDS, direct links, etc.), allowing it to display availability at any time, including all the fare ranges of carriers and other suppliers.
However, it is important to remember that Traveldoo does not operate completely independently and must be connected to a travel agency which has been approved to issue travel documents.
The client’s selected travel agency receives all reservations made in Traveldoo. They then issue the tickets and bill the services.
For each roll-out, Traveldoo offers two travel agency ticketing options which have a significant operational and service impact:
Option 1: Immediate or deferred ticketing?
Immediate ticketing means issuing the tickets as soon as the order is validated on the interface, whereas delayed ticketing transfers the validated orders pending issue until the deadline set by the suppliers.
In the first case, the traveller will receive all of his or her confirmed and issued documents a few hours after booking. In the second scenario, they will receive confirmation of the booking which will only be ticketed on the deadline, which varies according to the departure date and the ticket flexibility (between a few hours and a few days).
On the Traveldoo side, the deferred option offers a significant advantage as it allows you to continue to make changes and cancellations, free of charge before the ticketing deadline, while the immediate option requires a telephone call to the travel agency, and offline billing for the transaction.
Option 2: Working hours or 24/7 ticketing
With the evolution of the agency market, clients have been able to choose their ticketing time slot for several years.
Historically, clients had no choice but to abide by the service schedules of the travel agency. In this context, reservations booked using Traveldoo 24 hours a day are processed and issued on the basis of the working days and hours of the agency.
Example of a service open Monday to Friday from 8:30 am to 6:30 pm:
- Traveldoo 24/7 reservations
- Agency ticketing Monday to Friday between 8:30 am and 6:30 pm
- A departure on Tuesday morning at 8:00 am must be validated and issued before 6:30 pm on Monday
- A reservation made by Traveldoo on Saturday for a departure on Monday morning at 7:00 am is therefore impossible
Now, agencies have developed 24/7 ticketing services that allow them to issue straightforward online tickets 24 hours a day, 7 days a week without the need for a travel agent. In this context, reservations booked via Traveldoo 24 hours a day are also processed and issued 24 hours a day without needing to take into account the working days and hours of the agency.
Example of a 24/7 agency service:
- Traveldoo 24/7 reservations
- Agency ticketing 24/7
- A departure on Tuesday morning at 8:00 am must be validated and issued before the ticketing deadline
- A reservation made by Traveldoo on Saturday for a departure Monday morning at 7:00 am is possible as soon as the ticket is confirmed and validated.
At first glance, the 24/7 service offers attractive advantages, especially for the traveller who no longer has to worry about the opening hours of the agency when placing orders on Traveldoo.
But, before granting this freedom to your associates, have you thought about the additional costs entailed by the reduction in expected orders and the processing of validations on evenings, weekends and public holidays?
What is certain is that the choice is not as simple as it seems and that you should discuss the options with your Traveldoo project manager. Keep your travellers and line managers up to date to ensure you implement your choice of ticketing option without any hidden surprises!
